The Logistics Coordinator is responsible for performing the work
necessary to effectively and efficiently complete administrative
and operational functions as well as company compliance.This
position will use effective communication, collaboration, and time
management, in order to provide internal support to the Area
Manager, Operations Manager, project teams, and Home Office
managers.Externally, the Operations Coordinator communicates
regularly with customers and vendors to positively impact existing
and new relationships. The Operations Coordinator is the liaison
between the Area Office and Home Office Managers. This position is
based in New York and we're looking for a skilled individual to
join our team on a project-based basis, with the potential for
future opportunities post-project completion. - Ideal Candidate:

Education: - High School diploma or GED preferred - Basic
proficiency with MS Office. - Prior experience in shipping and
receiving and inventory management. - 2 years of management
experience in logistics operations Experience: - Two years or more
experience working in the field of business or construction.
Skills: - Knowledgeable in accounting concepts, practices,
processes, and procedures - Oriented to provide excellent service
throughout the organization - Proficient in MS Outlook, Word,
Excel, and ERP accounting systems, with the ability and willingness
to learn new software. - Excellent written and verbal communication
- Understanding of the project lifecycle as it relates to
construction project accounting - Excellent ability to multi-task
with multiple competing tasks - Ability to meet daily, weekly, and
monthly reporting deadlines Responsibilities: - Coordinate timely
and accurate shipments - Ensure accuracy of orders and shipping
documents - Review vendor billing for accuracy and approval by
Project team - Oversee production timeline - Maintain accurate and
consistent receiving documentation - Coordinate materials receipts
with Quality Control representatives for acceptance, fill in for QC
rep as needed. - Comply with all company safety guidelines related
to the position. - Promote and demonstrate professional work
environment positive working relations between team members. -
Communicate in writing and verbally professionally and effectively.
- Maintain office/job site environment to promote and maintain
productivity. - Drive a culture of doing it right the first time
with actions and words every day. - Maintain electronic/physical
project folders ensuring all the appropriate documents are included
- Coordinate with the project leadership team regarding project
reports and project billing needs weekly - Assist project
management by coordinating with local suppliers and subcontractors
and direct them to Ballard's vendor management/prequalification
site. - Assist in contract review and execution process for small
works contracts. - Collaborate and communicate with all
stakeholders, customer service representatives, quality control
personnel and others involved with the shipment and receipt of all
materials, permanent and temporary. - Track, trace, and update the
status of shipments. - Participate in continuous improvement
training and trains others. - Provides all documentation regarding
shipping and receiving as required. - Understands and follows
proper receiving documentation. - Other duties as assigned.
Physical Demands Working Environment: - Prolonged period sitting at
a desk and working on a computer. - Must be able to lift up to 20
